This policy explains how Healthlink Massage handles personal information in connection with this website, enquiries and bookings for our clinics. It also explains your choices and how to contact us about your information.
Online bookings are made through quick.healthlinkpro.com. The clinic you select receives the information needed to manage your appointment. The booking platform also lists other businesses; this policy does not automatically apply to every business on that platform. Contact your selected clinic if you are unsure who provides your treatment or holds your treatment records.
Information we collect
- Bookings: your first name, mobile number, selected clinic, service, therapist and appointment time, together with any optional note you provide and your booking reference.
- Enquiries and care: contact details and the information you give us when you contact a clinic or receive treatment. This may include symptoms, relevant medical history, injuries, allergies, treatment preferences and treatment records. Health information is sensitive personal information.
- Account information: account and sign-in information when you use an account with the booking service.
- Technical information: information associated with website requests, such as IP address, browser information, the page requested and the time of a request, which may be recorded by website and service providers.
We collect information directly from you, or from someone authorised to act for you. We may obtain information from another health professional with your consent or where the law permits. Please only include information relevant to your appointment in an optional booking note.
Location during booking
Your browser may ask permission to share your location during booking. If you allow this, location coordinates are included with your booking. You can decline the browser request or change location permission in your browser settings.
If you would prefer to discuss information requested during booking, contact your clinic before submitting it.
How we use and share information
We use information to respond to enquiries, arrange and manage appointments, send booking confirmations and reminders, assess treatment suitability, provide and record care, administer the services you receive, and respond to questions or complaints.
Information is shared with the relevant clinic, staff and practitioners involved in your booking or care, and with providers supporting booking, hosting, communications and records. Sharing is limited to what is needed for the relevant purpose. Information may also be disclosed with your consent or where required or authorised by law.
We seek consent to collect health information reasonably needed for your care, except where the law permits collection without consent. We use health information for the purpose for which it was collected, or another purpose where you consent or the law permits it. Accepting booking terms does not, by itself, authorise every use of your health information.
You can ask general questions without identifying yourself where practical. You may choose not to provide information, although this may limit our ability to manage an appointment or provide suitable care.
Marketing choices
Booking confirmations and reminders relate to your appointment. Consent to receive marketing is separate from making a booking. We seek consent before using health information for direct marketing.
If you receive marketing from us, you can ask us to stop by using the unsubscribe option provided or contacting us. Withdrawing marketing consent does not cancel your appointment.
Browser storage and external services
The booking service uses browser storage to maintain account and sign-in information. You can manage stored website data in your browser settings; clearing it may sign you out or affect saved settings.
The homepage and booking pages load fonts from Google. The booking service also integrates Google sign-in. Loading these services connects your browser to Google, which can receive technical information about the request. If you choose Google sign-in, review the information requested in its sign-in screen.
Links to other websites, app stores or businesses take you to services with their own privacy practices. Review their policies before providing information.
Overseas handling
External services can process information outside Australia. Google describes processing on servers around the world, including locations in the United States. Its Privacy Policy explains its information handling and international processing.
For information about the booking, communications or other technology providers used for your particular clinic, including overseas handling, please contact us using the details below. We will provide available information relevant to your enquiry. This policy does not represent that all information is stored or accessed only in Australia.
Holding and protecting information
Booking and account information is held electronically through the booking service. Other information you provide is held in the relevant clinic's communication and treatment records.
We take reasonable steps to protect information from misuse, loss and unauthorised access, alteration or disclosure. We retain information for as long as needed for the purpose for which it is held and to meet applicable legal obligations. When it is no longer needed and retention is not legally required, we take reasonable steps to destroy or de-identify it.
Access, correction and complaints
You can request access to information we hold about you or ask us to correct it. We may need to verify your identity before responding. Where we cannot provide access or make a correction, we will explain the reason and how you can raise a concern, as required by law.
To make a privacy complaint, contact us with enough detail to understand the issue. We will investigate and respond within a reasonable period. If you are not satisfied with our response, or have not received a response within 30 days, you can contact the Office of the Australian Information Commissioner (OAIC).
